Office/Accounting Assistant

The position provides administrative support to the Accounting Supervisor, executive employees and staff.

Task description: 

  • Support executive employees as needed (The expenses are made and justified by each employee).
  • Arrange corporate travel, lodging and corporate meetings and looking with the most cost-effective solution for the company and in accordance to Ferrovial policies
  • Create, develop and present documents using Office 365 advanced level (Excel, Word, Powerpoint.....)
  • Review WORD documents to correct and uniform formats. Correct writing in English and expressions. Check all the documents before their submission. The document must be format error free and completed before or on deadline.
  • Prepare expense reports for executive employees providing a first check that the expenses being claimed are correct and in accordance to Ferrovial policies and procedures and ensure reimbursement
  • Answer and direct calls, letters, emails, and other inquiries and communication
  • Communicate various information including announcements and memorandums
  • Archive and maintain and electronically scan records of invoices, payment checks, receipts, purchase orders and comparative charts according to Ferrovial procedures
  • Maintenance of Time Sheet. Checking all engineers reported their hours. Elaborate macros to launch monthly an annual report, with selected information.
  • Management of Invoice approval process: Initiation of process in Adobesign, tracking and printing with all the approvals.
  • Prepare, send, receive and distribute mail and other parcels
  • Promote flexibility, creativity and critical problem solving to evolving business needs from a document process level perspective.
  • Greets visitors, responds to general questions, and directs callers to proper location.

Knowledge Skills and Abilities:

  • Bilingual English and Spanish
  • Proficiency in MS Office 365 pack (Word, Excel and Powerpoint)
  • Strong attention to detail and organizational skills
  • Ability to work independently and under strict deadlines
  • Ability to maintain confidentiality and discretion properly
  • Ability to read and comprehend simple to complex instructions, correspondence, and memos.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
