Executive Assistant

Medium-sized Corporation in Tempe area is looking for a high performing Executive Assistant to report to the CEO.

Position Overview:

The Executive Assistant will report directly to the CEO and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The Executive Assistant also serves as a liaison to the senior leadership teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Job Responsibilities:

  • Schedule meetings and appointments and manage travel itineraries for CEO and possibly COO
  • Prepare internal and external documents for leadership team members
  • Arrange corporate events to take place inside and outside of the workplace for CEO, possibly COO and Senior Leadership Team, (SLT)
  • Maintain an organized system of electronic documents
  • Badge Replacement Tracking Form/main contact for security
  • Expense Reports for VP's
  • Liaison to the SLT for CEO Scheduling and Planning
  • Calendaring utilizing MS Office
  • Generating heaving written communications
  • Attend meetings as requested and produce minutes and memoranda to document

Education and Experience:

  • Bachelor's degree
  • Minimum of 5+ years of experience as an Executive Assistant reporting directly to C-suite executive
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs 

Travel:

Less than 10%
